How to Use the Document Translation Service

1. How to use the Document Translation Service

The Document Translation Service allows you to translate documents while retaining the document structure. You can improve translation results by using customized or domain-specific dictionaries during translation, or reuse accurate translation results by searching through the parallel texts. You can also judge the translation results by referring to the back translation results.

The Document Translation Service consists of five panels:
(a) Translation
(b) User Dictionary
(c) Dictionary Selection
(d) Parallel Text Selection
(e) Setup

Five panels in the Document Translation page each handle different tasks

Figure1. Each of the five panels in the Document Translation Service handles different tasks.

(a) Translation

The Translation panel is where the sentence translation and translation refinement are carried out.

♣ Quick translation:

(1) Click the "Setup" button to jump to the Setup panel. Select the languages and machine translator(s) you wish to use. (For more explanations on setting up your language and machine translation environment, refer to "(e) Setup" below.)
(2) You will see two text areas side by side. Copy and paste the text you wish to translate into the left-hand text area. You can copy and paste text from plain text files, web pages, Microsoft Word documents, and Microsoft Excel document. The structure of the document will be automatically formatted.
(3) Click the "Translate" button to start the translation.
(4) After a few seconds, the translation result will appear, sentence by sentence, on the right-hand text area.

♣ Saving the result: You can save the translated result to your computer by clicking the "Save Log" button on the top-right corner. The saved file can be loaded to the Document Translation page by clicking the "Load Log" button.

♣ Loading the saved result: Clicking the "Load Log" button on the top-right corner will prompt a small box to appear. Upload the translation log (translation result saved using the "Save Log" button) by first clicking the "Browse" button to select the file and then clicking the "Upload Log" button.

♣ Searching for parallel texts: You can search through the parallel texts using the "Parallel Text" area on the bottom-right corner of the Translation panel. First, you need to select the parallel texts from the Parallel Text Selection panel. Once the parallel texts are selected, return to the "Parallel Text" area, and type a keyword (search word) inside the text field, and select the source language from the pull-down menu on the right. Click the "Search" button to start the search. You can search using multiple keywords by typing in multiple keywords delimited by spaces.

♣ Displaying back translation result: Clicking the marker icon () will activate the marker (). The marker icon will turn yellow to indicate that it has been activated. To display the back translation result, scrape the sentence in the text area that you wish to see the back translation result and wait a while. The back translation result will be displayed in the "Back Translation" area at the bottom-left corner of the Translation panel.

(b) User Dictionary

The User Dictionary panel allows you to create and load user-created dictionaries from the Language Grid Playground server or from your computer. Refer to how to create, load, save, and delete customized dictionaries below for handling user dictionaries.

(c) Dictionary Selection

The Dictionary Selection panel allows you to select a domain-specific dictionary that you wish to use for translation. Simply click the green dictionary button to select a dictionary. The dictionary button will turn red when clicked to indicate that it has been selected. To unselect, click the red button (the button will return to green).

(d) Parallel Text Selection

The Parallel Text Selection panel allows you to choose a parallel text or several parallel texts you wish to use during translation. Simply click the parallel text button to select the desired parallel text. The parallel text button will turn orange when clicked to indicate that it has been selected. Clicking the orange button will unselect the parallel text (the button will return to blue). You can select all parallel texts by checking the "Select All" checkbox. Unchecking the "Select All" checkbox will unselect all parallel texts.

(e) Setup

Set up the translation environment by selecting the languages and machine translators from the pull-down menu. The Document Translation Service currently supports up to two-hop translation (Language A -> Language B -> Language C). To perform a two-hop translation, check the "Enable Second Translation" checkbox to activate the third language's pull-down menu. After selecting the languages and machine translators, click the "OK" button.

2. How to create, save, load, and delete customized dictionaries

You can create, save, load, and delete customized dictionaries at the User Dictionary panel. Refer to other how-to-use page for instructions on how to create customized dictionaries.

♣ Saving your dictionary to the server: Clicking the "Save Dictionary" button will prompt a Save Dictionary box to appear. Click the "Save to server" radio button, type in a dictionary name (only letters, numbers, underscore "_" and hyphen "-" are allowed, no spaces) inside the text field, and then click the "OK" button to save the dictionary to the Playground server.

♣ Saving your dictionary to your computer: Click the "Save Dictionary" button, click the "Download as file" radio button, and then click the "Save" button to save the dictionary to your computer. When the dictionary is saved to your computer, it is saved in a Tab Separated Values (TSV) format with Unicode encoding. To view the saved dictionary file, you need to open it using Microsoft Excel. Start the Excel program, and drag and drop the dictionary file to an empty Excel worksheet to view the dictionary.

♣ Loading your dictionary from the server: Clicking the "Load Dictionary" button will prompt a Load Dictionary box to appear. Click the "Load dictionary on Playground server" radio button, type in the dictionary name into the text field, and then click the "OK" button to load the dictionary from the Playground server.

♣ Loading your dictionary from your computer: Click the "Load Dictionary" button, click the "Upload dictionary file on your computer" radio button, select the dictionary you wish to load by clicking the "Browse" button, and then click the "OK" button to load the dictionary from your computer.

You can also load a dictionary file created in a Microsoft Excel worksheet that has been saved using Tab Separated Values (TSV) Unicode text encoding. The first row of the dictionary table must contain a list of ISO 639-1 language codes. The remaining rows should contain a list of words according to the language.

Figure 2. You can create customized dictionaries using Microsoft Excel.

♣ Deleting your dictionary from the server: Clicking the "Remove Dictionary" button will prompt the Remove Dictionary box to appear. Type in the dictionary name into the text field, and then click the "OK" button to delete the dictionary from the Playground server.

3. How to refine translation results

The Document Translation Service provides various means of refining translation results to obtain better translations.

(1) Refining the translation by revising the text

♣ Refining the translation by revising the original sentence

If the quality of the translation is low, changing the expression in the original sentence can sometimes improve the quality of translation. The Document Translation Service provides the back translation feature to allow you to judge the translation quality of the marked sentence(s) even if you do not have any knowledge of the target language. By marking the original sentence and comparing it with the back translation result, you can judge which part of the translated text has poor translation quality. Based on that information, you can revise the original sentence (which is marked), click the "Translate" button to obtain the back translation result, and verify whether translation has been improved.

Figure 3. You can revise the highlighted sentences in the left-hand text area, translate, and refer to the back translation result.

♣ Refining the translation by revising the translated sentence

If you have some knowledge of the target language, you can directly revise the translated result to refine the translation. In the case of a two-hop translation, if you understand the intermediate language (for example, if you understand Japanese in English -> Japanese -> Korean two-hop translation), you may improve the translation by revising the translated result of the intermediate language. You can display the intermediate language's translation result by clicking the language tab in either the left-hand or right-hand text area. If you have some knowledge of the intermediate language, after marking and revising the intermediate language's translation result, clicking the "Translate" button will display the back translation result of the intermediate language (the highlighted part).

Figure 4. Clicking the intermediate language tab will display the translation result of the intermediate language.

(b) Refining the translation using customized dictionaries and domain dictionaries

The quality of machine translation can be improved by incorporating appropriate dictionaries into the machine translation. Language Grid Playground enables various dictionaries (both customized and domain-specific) to be easily incorporated into the machine translation. Simply do the following:

♣ Using customized dictionaries for translation: Go to the User Dictionary panel, and load a customized dictionary you wish to use. Then go to the Translation panel, type in a sentence and click the "Translation" button.

♣ Using domain dictionaries for translation: Go to the Dictionary Selection panel, and select a domain-specific dictionary you wish to use. Then go to the Translation panel, type in a sentence and click the "Translation" button.
