Procedure to Use Language Grid

Steps

To use the Language Grid, your group is required to conclude an agreement with the Language Grid Operator. Please follow the below mentioned procedure:

Step 1: Send an application to the operation center

Check whether your group fulfills the following entry requirements, and send an application for registration to the Language Grid Operator.

Entry Requirements:

  1. The size of a user group has to be small enough to enable the responsible person to have control over the usage of the Language Grid by all members.
  2. The group must be able to manage the user ID and password for the Language Grid within only a few administrators in order to prevent any leakage.
  3. The following information concerning the user group must be published on the groups' website: the name of the user group, the responsible person's name, and the postal address.
  4. The target user group has the following characteristics:
    • A group that is able to contribute to the educational and research activities of universities and related institutions.
    • A group that uses the Language Grid solely for non-profit purposes such as activities for multicultural societies or international exchanges.
    • In case the group is a profit organization, the group can join the Language Grid only for the following two purposes: it serves as a language resource provider or as a language service user to engage in social contribution activities.
    • In principle, an individual is not qualified to conclude an agreement with the Language Grid Operator.

Include the following information in your request message:

  1. The name of the organization*
    * Include not only the name of the organization but also the name of your group, such as the name of the research lab or department.
    (e.g., Ishida & Matsubara Laboratory, Department of Social Informatics, Graduate School of Informatics, Kyoto University)
  2. Responsible person (The official representative of the user group or the person who is delegated the responsibility by the official representative)
    (e.g., Toru Ishida)
  3. Postal address
  4. E-mail address of the responsible person
  5. The website of the user group (e.g. http://www.ai.soc.i.kyoto-u.ac.jp/)

Send your application to the Language Grid Operator: operation [at] langrid.org (Replace [at] with @.)
Please ensure that the official representative of the group sends the request.

Step 2: Receive a reply from the operation center

After receiving your application, the operation center will examine your group's eligibility and send an appropriate response via e-mail. Provided your group is approved, the operator will send you two copies of the agreement form via postal mail.

Step 3: Sign the Agreement

Fill in both the copies of the agreement form and add the signature of the responsible person. Send the two copies to the operator via postal mail.

Step 4: Confirm your ID

After receiving the agreement from your group, the operator will send an email to confirm your group's user ID. Reply to the mail and confirm the ID.

Step 5: Conclude the agreement

A representative of the Operator will sign the form and conclude the agreement. The package—including one copy of the agreement, your user ID, and initial password—will be sent to you via postal mail.

Step 6: Try the Language Grid

Try the Language Grid with the user ID. For detailed instructions, refer to the "Startup Guide for the Language Grid," included in the package.
